How to Set Up Contract Approvers in MatterSuite

How to Set Up and Manage Approvals on a Contract

The Approvers tab lets you define and manage approval stages within your contract's lifecycle, ensuring the right people review and sign off before the contract moves forward.

How to Add an Approval Phase

New Approval Phases

Open the contract and go to the Approvers tab. Here, you'll see the contract's lifecycle stages (such as Draft, Negotiation, and Approval) displayed as tabs, letting you set up approval phases for each stage individually.

To create a new phase, click Add Approval Phase. This opens the New Approval Phase window, where you can:

  • Title - Give the approval phase a clear name so it's easy to identify.

  • Description - Add context about what this phase covers, with the option to use AI to help generate it.

  • Approval Rule - Choose how the phase should be approved:

    • All approvers required - Every approver added to the phase must approve before it's considered complete.

    • First decision applies - The phase is completed as soon as one approver makes a decision.

  • Add Approvers - Select who needs to review and approve this phase.

Once you're happy with the details, click Save to add the phase to that stage.

Approval Phases

Important Notes

  • Approval phases must be added to a specific contract stage, and only apply while the contract is in that stage.

  • Approvers need to already be members of the contract, so make sure to add them via the Members tab first if they aren't already listed.

Adding Members as Approvers

Before assigning someone as an approver, they need to be added as a contract member. Go to the Members tab and click Add Member. From the New Member window, search for and select the person from your Staff or Co-Counsel list, assign them a role, and click Save. Once added, they'll be available to select as an approver when setting up an approval phase.
